How to reply to Google reviews with ChatGPT, in your own voice
The review is public, and so is your reply. Draft it in your own voice, then post it yourself.
A Google review comes in while you are with a customer. You mean to answer it. Then the day ends, and the review is still sitting there. If that is your week, this page shows you how to reply to Google reviews with ChatGPT. The draft should sound like you. You post it yourself.
The short answer: copy the review, ask for a short draft in your own words, read it out loud, then paste the reply into Google. Skip the deal. Skip any private detail that was not already in the review.
The facts below about how replies work are from Google’s own help pages, checked on 13 October 2026. If a button on your screen has moved, follow the help page.
Why does the reply wait until closing?
You know what you would say at the counter. Writing it on a public page feels different. A happy review gets the same thank-you every time, because you are busy. An unhappy review sits longer, because you do not want the wrong sentence where everyone can read it.
The draft is the part a tool can do. The decision about what is true, and what is kind, stays with you. That is the same split as the other weekly replies in Five admin jobs any small business can hand off this month.
How do you reply to a review on Google?
Google’s help page “Manage customer reviews” says you must verify your business before you can reply. After the business is verified, you reply on your Business Profile.
- Go to your Business Profile.
- Select Read reviews.
- Next to the review you want to reply to, select Reply.
- Enter your reply in the box.
- Select Reply.
Do the drafting before step 4. The box is where the checked words go.
What happens after you post the reply?
Google reviews the reply against its content policies. If it is not approved, you are asked to edit it. A reply usually takes up to 10 minutes to review. Sometimes that can take up to 30 days.
If it is approved, it is public under the customer’s review. It appears as your business. Your personal name is not shown. The customer is notified, and they can still change their review. If they do, the date changes to the latest update.
To change or remove your reply, open Read reviews, then select Edit or Delete under it. If you edit, select Update when you are done.
Google’s tips page says replies are public, and that reviews show next to your Business Profile in Maps and Search.
How do you get ChatGPT to sound like you?
Start with a short note about how you talk. You paste it every time, above the review. Write it the way you would explain it to a new hire.
I run a small [shop, clinic, or trade] in [your town].
I write the way I talk at the counter. Short, friendly, and plain.
I sign replies with [your name].
I do not use slogans.
I do not offer a discount in a reply.
Here is one reply I was happy with. Private details are already removed:
[paste one old reply, or describe it in one sentence]
Save that note on your phone. The next review starts with the note, then the prompt below.
What prompt works for a happy review?
Google’s tips page says to skip the same thank-you for everyone. Mention the specific thing they wrote. Keep it short. Google says that if a reply is too long, people may stop reading before the point. It also says to be conversational, and to avoid using the reply to offer deals or promotions.
Using the voice note above, write one reply to this Google review.

Then do this.
- Read the draft out loud.
- Change any line you would not say at the counter.
- Add one sentence only you would write.
- Take out anything marked [CHECK THIS], or replace it with a fact you know.
- Paste the finished reply into Google yourself.
What prompt works for an unhappy review?
Google’s tips page, checked on 13 October 2026, says to be polite and keep it short. Keep the reviewer’s private information out, and skip any personal attack. If it is complicated, ask them to phone or email so you can talk in private. Acknowledge a real mistake. Do not take responsibility for something outside your control. Use their name and the specific point they raised. A sign-off with your name or initials is something Google suggests. Reply promptly.
Using the voice note above, write one public reply to this unhappy Google review.

If it needs a longer conversation, ask them to call or email [your phone or email].
Sign it with [your name].

What should stay out of the reply?
A few rules on Google’s tips page are easy to miss when you are rushing a draft.
Your reviewers are already customers. Google says to avoid using the response to offer deals or promotions. Share a detail that fits their visit instead.
Google also says reviews must reflect a genuine experience. Offering free or discounted goods or services in exchange for a review, a changed review, or removal of a negative review is prohibited. Keep that offer out of the prompt and out of the reply. If a review breaks Google’s policies, Google says you can flag it from the help page.
